Why should I outsource my medical billing?

What is credentialing and how can you help?

Put simply, credentialing is the process of payors use to verify that you and your staff have the proper qualifications and licenses to care for patients. The credentialing process includes identifying a list of the desired insurers, negotiating contracts with each payor, and providing all necessary provider data to each payor to enroll in their provider networks. It’s a spiderweb of forms and documents that we easily compile for you in order to get  you paneled with payors and eligible to submit insurance claims for reimbursement. Please allow a minimum of 90 days to get credentialed.

What services do you provide?

We expertly provide medical billing and credentialing services.

What services are not included?

Although we provide medical billing and credentialing services, we do not offer bookkeeping services or act as a collection agency. Rest assured, however, that we do contact patients to collect accounts receivable.

I see you are based in Nevada. Does my business have to be based in Nevada too?

No! We welcome your business from all 50 states plus our territories too. All of our work and staff are headquartered in Northern Nevada without using offshore staff. 

Do you only work with clients in the mental health field?

Yes. Our specialty is with medical billing in the “brain” space. We understand the intricacies in billing for these specialties and keep abreast of easy- to- miss changes in coding.

Why should I choose Brain Billers over other agencies?

Brain Billers was founded by a psychiatrist frustrated with the lack of service and transparency from other larger medical billing practices. In fact, there was virtually zero communication: no account manager, monthly phone calls, no understandable key reports. Here, you have an assigned account manager with whom you are able to easily contact via phone or email. We utilize are monthly meetings to discuss trends and cash flow, and to answer any specific questions you have about your account.

How do I start working with you?

The first step is scheduling a call with us. We will then walk you through completing the necessary forms and documents. If your license is current, you are credentialed with the major payors, and have medical billing software, we can complete the on-boarding process and begin working your account.

Is there a start-up fee?

No, we are your partner who only gets paid when you get paid. Our fee is 6.5% of collections paid monthly via automatic ACH on the 4th day of every month. We reconcile your accounts and deliver key reports to you monthly.

Is there an on-boarding process?

Yes. We believe that the more you know about the financial side of business, the healthier your practice will be. We introduce you to your account manager and let you know what type of reports to expect. We also walk you through how to give us access, offer recommendations on collecting patient co-pays, and staying on top of your cash flow.

Is there a minimum contract term? Why?

Yes. All of our clients enter into a 1-year contract. We believe it takes a significant period of time to see a change in your balance sheet and an increase in your cash flow.

I am just starting my own practice; can you help me set up my billing the correct way?

Yes! We have a special service just for new doctors going out on their own or new graduates. It includes one-on-one customized guidance, recommendations, and credentialing with the top payors in your service area. Schedule a time to set up a one-on-one discovery call.

Can I call your references?

Absolutely! We are delighted to connect you with our happy customers.

I’m leery of sharing my private banking information. Is there a workaround?

We hear you! We are only authorized to deposit funds and verify Electronic Fund Transfers; we do not have access to withdrawing your funds at any time.

What kind of reports do you generate?

Medical Billing Software Questions

Do I need to use a certain software?

No. The good news is that we are familiar with virtually every medical billing software on the market including: Kareo, EpicCare, NextGen, DrChrono, CureMD, AdvancedMD, athenahealth, and CentralReach.

What if I don’t have my own medical billing software?

No worries! We will make a customized recommendation based upon your practice. Schedule a time to discuss your needs.

How quickly do you file claims?

Immediately. We process them as soon as you enter them, which is typically daily.  

Are all claims submitted electronically?

Unfortunately, no. Some payors still do not accept electronic claims. For those payors, we submit paper claims via mail.

Where do my payments go?

All of your payments go are deposited directly into your account. We assist you with monitoring payments and issuing reports. We do not have access to withdrawing funds from your account at any time.
